Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement provided upon booking confirmation or at the time of vehicle collection. This document outlines the specific terms, conditions, insurance coverage, fees, and your responsibilities related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will be the authoritative document.
Eligibility Criteria
Rental Vehicle Requirements
- To rent a vehicle from Harlow Car Hire, you must be at least 21 years old, though age restrictions may differ depending on the vehicle type. A valid full driving license appropriate for the vehicle category is required, along with proof of identity and current address. Valid payment details and a security deposit are also necessary, as well as any other conditions outlined in the Rental Agreement.
Booking and Payment Process
- Reservations can be made via our website, by telephone, or directly at our Dartford office. A deposit may be necessary to confirm your booking. The remaining balance and security deposit are usually collected at the time of vehicle pickup. All pricing is listed in British Pounds (£) and includes VAT where applicable. We accept all major credit and debit cards, securely processed through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, it is your responsibility to thoroughly examine the vehicle and promptly report any pre-existing damage. A vehicle condition report will be prepared and signed to document its status. Please return the vehicle in the same condition it was collected, accounting for normal wear and tear. Any new damage will be evaluated and may incur additional charges. Ensure the vehicle is returned with the same fuel level as at collection; refueling fees will apply if it is returned with less fuel. Late returns may lead to extra charges, so please inform us immediately if you anticipate any delays. You will also be liable for any parking fines, traffic violations, or charges accrued during the rental period, in addition to an administration fee.
5. Coverage and Responsibility
- Basic third-party insurance is included with every rental at Harlow Car Hire. For comprehensive coverage details and excess amounts, please refer to the Rental Agreement. Additional insurance options may be available to limit your financial liability. It is advisable to review these options thoroughly. You will be responsible for any damage or loss up to the insurance excess, unless you opt for additional coverage. Damage resulting from negligence, misuse, or violations of these Terms remains your responsibility, regardless of existing insurance.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.
Prohibited Activities
Prohibited Vehicle Uses
- The vehicle must not be used for illegal activities or purposes such as racing, rallying, or off-roading. Transporting hazardous materials is prohibited. Sub-letting the vehicle or permitting unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs is strictly forbidden. The vehicle should only be used as intended, adhering to passenger and weight limits, and must remain within designated geographical boundaries unless authorized otherwise.
Breach of these terms may lead to rental cancellation and extra fees.
8. Liability Restrictions
To the fullest extent permitted by English and Welsh law, Harlow Car Hire will not be responsible for any indirect, incidental, or consequential damages, including loss of profits or data, resulting from your use of our services. Our maximum liability for any claim is limited to the rental amount paid in the previous 12 months. This limitation does not apply to instances of negligence leading to death or personal injury, or in cases of fraud.
9. Applicable Law
These Terms are governed by the laws of England and Wales. All disputes will fall under the exclusive jurisdiction of the courts in this region.
10. Updates to Terms
We reserve the right to amend these Terms at any time. Updates take effect immediately upon posting on our website. Ongoing use of our services indicates acceptance of the revised Terms.
